Photos, Videos & Property Documentation

When reasonably necessary for quoting, service planning, documenting property conditions, reviewing a service concern, evaluating possible damage, or confirming completed work, we may receive or create photographs, videos, or other documentation relating to the property or service.

Halocrest Clean will not treat client property photographs or documentation as marketing content merely because they were collected for service-related purposes. Separate authorization may be requested before identifiable client property images are used for promotional or public-facing purposes.

These purposes may include:

This may include evaluating known hazards, access conditions, pet or occupant concerns, restricted areas, unsafe circumstances, suspected fraud, unauthorized activity, or other risks related to providing or administering services.

Improving Our Services & Operations

We may use information to evaluate how our quoting, scheduling, communication, cleaning, customer-service, and operational processes are working and to identify opportunities to improve the client experience, training, service procedures, website, forms, or business systems.

Where practical, we may use aggregated or de-identified information for operational analysis in a manner that does not reasonably identify an individual client.

Additional information regarding cookies, analytics, and similar technologies is provided later in this Privacy Policy.

Marketing & Promotional Communications

Where permitted by law and consistent with the consent or communication preferences provided, we may use contact information to send promotional emails, text messages, service updates, offers, announcements, or other marketing communications relating to Halocrest Clean.

Consent to receive marketing communications is not required as a condition of purchasing cleaning services.

Clients and prospects may use the applicable unsubscribe or opt-out method provided with the communication.

Service-Related Communications

Halocrest Clean may use the contact information you provide to communicate with you about inquiries, quotes, appointments, access instructions, scheduling changes, invoices, payments, service updates, customer-service matters, and other communications reasonably related to your requested or ongoing services.

Opting out of SMS does not necessarily prevent Halocrest Clean from contacting you by other permitted methods when reasonably necessary to respond to an inquiry, administer an existing service relationship, or provide information you requested.

Marketing Consent

Consent to receive marketing or promotional communications is not required as a condition of purchasing cleaning services.

Where marketing consent is required, Halocrest Clean will request that consent separately from general service authorization or service-related communication consent.

The payment processor may collect, process, and retain payment information according to its own privacy, security, and payment-processing practices.

Stored Payment Methods & Future Charges

When a client chooses or authorizes a payment method to be retained for future or recurring transactions, the applicable payment processor may securely store the payment credentials and provide Halocrest Clean with a token, customer identifier, limited account information, or other mechanism that allows authorized future transactions without providing Halocrest Clean with the complete payment credentials.

However, no electronic payment system, transmission method, or data-storage system can be guaranteed to be completely secure.

Payment Processor Privacy Practices

Third-party payment processors may process personal information under their own privacy policies and terms.

Halocrest Clean encourages clients to review the applicable processor’s privacy and security information when submitting payment information through that provider.

Payment and transaction information may be disclosed to or processed by third-party payment processors in order to authorize, complete, record, refund, or manage payments.

As described in the Payments & Payment Information section, Halocrest Clean generally relies on payment processors to handle complete payment credentials where appropriate.

Depending on the technology used and how it is configured, certain information relating to website activity, device identifiers, cookies, or interactions with advertising platforms may be disclosed to third-party technology providers.

Sale of Personal Information

Halocrest Clean does not intend to sell customer or prospect contact information for monetary compensation or operate a business based on selling personal information.

However, privacy laws may define the term “sale” more broadly than an exchange of personal information for money. Certain disclosures to third parties may be considered a sale under applicable law even when no monetary payment is received.

Accordingly, whether a particular disclosure constitutes a “sale” will depend on the nature of the disclosure, the recipient, the purpose for which the information is used, applicable contractual protections, and applicable law.

Sharing for Cross-Context Behavioral Advertising

Certain privacy laws, including California law where applicable, separately use the term “sharing” to describe disclosures of personal information for cross-context behavioral advertising.

If Halocrest Clean uses advertising technologies that constitute sharing under applicable law, we will provide any disclosures, opt-out mechanisms, or other privacy choices required by law.

Customer Lists & Service Information

Halocrest Clean does not intend to provide customer lists, service records, property information, photographs, access information, or other information collected primarily to provide cleaning services to unrelated third parties for their independent direct-marketing purposes unless authorized by the customer or otherwise permitted by law.

This does not prevent Halocrest Clean from using service providers, technology platforms, professional advisers, or other parties as described elsewhere in this Privacy Policy to support legitimate business operations.

SMS/MMS Privacy and No-Sharing

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Service providers that assist with messaging or customer support may receive only the information necessary to perform those services. SMS/MMS opt-in data and consent are excluded from all other sharing categories and are not provided to third parties or affiliates for their own marketing or promotional use.

Privacy Choices & Opt-Out Rights

Where applicable law provides a right to opt out of the sale or sharing of personal information, Halocrest Clean will provide or honor applicable methods for exercising that right.

Depending on the legal requirements applicable to Halocrest Clean and the technologies used on our website, this may include:

- a website privacy-choice or opt-out mechanism;

- an applicable “Do Not Sell or Share My Personal Information” or “Your Privacy Choices” link;

- recognition of qualifying browser-based opt-out preference signals; or

- another method permitted by applicable law.

Halocrest Clean will not represent that a particular privacy-control mechanism is available unless that mechanism has actually been implemented.

Opt-Out Preference Signals

Where required by applicable law, Halocrest Clean will take reasonable steps to recognize and process qualifying opt-out preference signals, such as browser-based privacy signals, in accordance with applicable requirements.

No Retaliation for Exercising Applicable Privacy Rights

Where required by law, Halocrest Clean will not unlawfully discriminate against an individual for exercising applicable privacy rights.

Changes to Advertising Practices

Our advertising and marketing technologies may change as Halocrest Clean’s business evolves.

If our practices materially change in a manner that affects the sale or sharing of personal information under applicable law, we may update this Privacy Policy, implement additional disclosures or privacy controls, or take other steps required by law.

Retention After the Client Relationship Ends

Halocrest Clean may retain certain information after a service relationship, inquiry, or recurring-service arrangement ends when reasonably necessary for accounting, tax, legal, insurance, dispute-resolution, recordkeeping, fraud-prevention, or other legitimate business purposes.

Inactive Leads & Prospects

Information from individuals who request a quote, submit an inquiry, or otherwise contact Halocrest Clean but do not become clients may be retained for a reasonable period for follow-up, recordkeeping, communication-preference management, business analysis, and other legitimate purposes.

Where applicable, marketing preferences and opt-out records may be retained even after other information is deleted so that Halocrest Clean can continue honoring the individual’s communication choices.

Deletion & De-Identification

When personal information is no longer reasonably necessary for the purposes for which it was collected or retained, Halocrest Clean may delete, anonymize, de-identify, or otherwise securely dispose of the information, subject to applicable legal, contractual, technical, or recordkeeping requirements.

- updating business practices as technology, operational needs, and risks evolve.

Third-Party Systems

Halocrest Clean relies on third-party platforms and service providers for functions such as website hosting, customer relationship management, communications, scheduling, payment processing, data storage, and other business operations.

Those providers maintain their own security practices, systems, and controls. Halocrest Clean does not control every aspect of a third-party provider’s security environment.

No Guarantee of Absolute Security

No method of transmitting information over the internet, storing information electronically, processing payments, or communicating by email or text message can be guaranteed to be completely secure.

Accordingly, while Halocrest Clean takes reasonable steps to protect personal information, we cannot guarantee that unauthorized access, loss, misuse, or other security incidents will never occur.

Client Responsibility

Clients and website users are also responsible for taking reasonable steps to protect their own devices, accounts, passwords, access codes, and communications.

If you believe information provided to Halocrest Clean may have been compromised, misdirected, accessed without authorization, or otherwise involved in a security concern, you should contact us promptly using the contact information provided in this Privacy Policy.

Security Incidents

If Halocrest Clean becomes aware of a security incident involving personal information, we may investigate the matter, take reasonable steps to contain or address the issue, work with applicable service providers, and provide notices or take other actions when required by applicable law.

12. Children’s Privacy

Halocrest Clean’s website and cleaning services are intended for adults and are not directed to children.

We do not knowingly collect personal information directly from children under the age of 13 through our website or service-request processes without appropriate authorization.

If we become aware that personal information from a child under 13 has been collected in a manner that is inconsistent with applicable law, we will take reasonable steps to review the information and delete or otherwise address it as appropriate.

Parents or legal guardians who believe that a child may have provided personal information to Halocrest Clean may contact us using the information provided in the Contact Us section of this Privacy Policy.

Information about children or other household occupants that an adult client voluntarily provides as part of arranging or managing cleaning services may be used only as reasonably necessary for service coordination, property access, safety, scheduling, or other legitimate service-related purposes.

13. Privacy Rights & California Residents

Your Privacy Choices

Depending on where you reside, the nature of our relationship with you, and the laws applicable to Halocrest Clean, you may have certain rights regarding personal information we maintain about you.

Halocrest Clean will respond to privacy requests as required by applicable law. Even where a particular statutory privacy right does not apply, we may consider reasonable requests concerning personal information when practicable and consistent with our legal, contractual, operational, security, and recordkeeping obligations.

California residents may have certain privacy rights under the California Consumer Privacy Act, as amended, when that law applies to the business processing their personal information.

Certain rights and obligations depend on whether Halocrest Clean meets the applicable statutory requirements and whether an exception or limitation applies. Nothing in this Privacy Policy is intended to create a statutory right that does not otherwise apply under law.

California’s current privacy framework recognizes these core consumer rights and distinguishes the right to opt out of “sale” from the right to opt out of “sharing” for cross-context behavioral advertising.

Submitting a Privacy Request

If you wish to request access, correction, deletion, or another privacy-related action concerning information associated with you, you may contact Halocrest Clean using the information provided in the Contact Us section of this Privacy Policy.

Please describe your request with enough detail for us to reasonably understand and evaluate it.

Identity Verification

To protect personal information from unauthorized access or deletion, Halocrest Clean may take reasonable steps to verify your identity before completing certain privacy requests.

The information required for verification may depend on the nature of the request, the sensitivity of the information involved, and the information we already maintain.

We will seek to avoid collecting unnecessary additional information solely for verification purposes.

Authorized Agents

Where applicable law permits an authorized agent to submit a privacy request on your behalf, Halocrest Clean may request information reasonably necessary to verify the agent’s authority and, where permitted, confirm the request directly with you.

Exceptions & Information We May Need to Retain

A request to delete or modify personal information may not require deletion of every record.

Halocrest Clean may retain information when permitted or required for purposes such as completing a transaction or service, maintaining financial or tax records, honoring an opt-out request, detecting security incidents or fraud, exercising or defending legal rights, complying with legal obligations, resolving disputes, maintaining insurance or business records, or other purposes permitted by applicable law.

Sale, Sharing & Advertising Choices

If Halocrest Clean engages in activities that constitute the sale or sharing of personal information under applicable privacy law, we will provide and honor applicable opt-out methods as required.

Additional information is provided in Section 9: Advertising, Sale & Sharing of Personal Information.

Response Timing

Halocrest Clean will respond to qualifying privacy requests within the time periods required by applicable law.

If additional time is legally permitted and reasonably necessary, we may provide notice of the extension as required.

Privacy Complaints

If you have a concern about how Halocrest Clean handles your personal information, we encourage you to contact us so that we can review the matter.

Nothing in this Privacy Policy limits any right you may have to contact or submit a complaint to an appropriate governmental or regulatory authority.
